Oklahoma Wesleyan University:
This is the University policy for all visitors staying overnight in University dorms or other residential housing or facilities.
OKWU is committed to providing a safe, comfortable, and welcoming environment for all visitors, including high school student recruits and admission visitors. This policy outlines the requirements and procedures for all individual or group overnight stays in University dorms or other residential housing or facilities.
This policy applies to:
• High school or transfer students, as well as any other invitees, visiting the University as potential recruits for athletic, academic, extracurricular programs, or for any other purpose that might result in an overnight stay at the University.
• Admission visitors or who are participating in campus tours or other admission-related activities and, as a result, will stay overnight at the University.
• University personnel in applicable departments such as Athletics, Student Development, Residential Life, and Safety.
University Responsibilities
• The University department responsible for the visit is accountable for ensuring compliance with this policy.
Pre-Arrival Requirements
• Waiver Form: All visitors or their parents or legal guardian must sign a Waiver of Liability form in the form specified below before staying overnight at the University. Signing the Waiver before arriving on campus for the visit is preferable.
Check-in Procedure:
• Visitors who have arranged to stay overnight must check in at the Residential Life Office between 3:00 PM and 5:00 PM on the day of arrival.
Accommodation Guidelines
• Overnight visitors will be housed in a designated University guest room or with a student host approved by the Residential Life Office.
• Mixed-sex housing will not be permitted.
Code of Conduct
• Visitors must comply with all University policies, including but not limited to, no alcohol and drug use, noise levels, and guest visitation.
• Violating University policies may result in immediate removal from University property and a potential ban for future visits.

Check out procedure
• Visitors must check out with the Student Life Office by noon on the day of departure.
• Any damages to University property caused by the visitor will be billed to the individual.
Student Recruits and Admission Visitors Overnight Stay Waiver of Liability and Hold Harmless Agreement
In consideration of being permitted to stay overnight and participate in admission and/or recruitment activities at Oklahoma Wesleyan University (the “University”), I, the undersigned, hereby release, hold harmless, and forever discharge the University and each of its officers, agents, directors, employees, and affiliates (collectively known as the “Releasees”) from all claims, causes of action, or demands of any nature, known or unknown, that I have or may have in the future, or that any person claiming through me has or may have in the future, against any of the Releasees by reason of any injury or damage to person or property, or death, in connection with my overnight stay and related activities at the University; provided, however, that the undersigned shall not be liable for, and shall not release or indemnify the Releasees, for any such claims that may arise or result from the willful misconduct or gross negligence of the University.
Furthermore, I agree to indemnify and hold harmless each of the Releasees from any liability arising from my actions or omissions during the referenced overnight stay and activities. I voluntarily assume the risk of any damages or injuries I might incur during my time at the University, including traveling to and from the University premises.
I certify that I have undergone a basic background check (If required) and am in good physical health to participate in the overnight stay and related activities. I acknowledge that I have read and understand the University's policy for high school student recruits and admission visitors staying overnight in University dorms, including but not limited to the check-in/check-out procedures, accommodation guidelines, and code of conduct.
I agree to use my personal or family insurance, if applicable, as primary medical coverage should an accident or injury occur during my stay. I give permission for medical treatment deemed necessary by an OKWU official in charge of event.
Required Signature
I have read this Release and understand the terms used in it and their legal significance. This Release is freely and voluntarily given with the understanding that rights to legal recourse against the University and the Releasees are knowingly relinquished in return for being allowed to participate in the overnight stay and activities described above.
